Minutes of the ENAR Business Meeting 2004 JSM Toronto, Canada Tuesday, August 10, 2004

- Opening Remarks (Marie Davidian)
Marie opened the meeting at 5:32pm.
- Treasurer's Report (Joanna Shih)
Joanna distributed the balance sheets to the members (Appendix B) and indicated that we have about $61,000 net revenue. This amount is approximately $12,000 more than last year. Joanna next focused on the performance of the 2004 Spring Meeting details. While the net revenue from the meeting is lower (compared to 2003), we spent more on food and beverage due to increased attendees. We also added fruit. The second increase is due to the $15,000 management fee. In terms of the educational program, Joanna reported a $5,000 increase in net revenue from last year. The tutorials were similarly successfully with a $9,000 increase relative to the 2003 meetings. Joanna concluded by stating that while we had a lower net revenue from 2004 Spring Meeting, we were successful because of the educational program. In sum, our total fund balance is quite good.
Several members had questions. Judy O'Fallen wondered why the short courses at the Charlotte Meeting did so well. Joanna indicated that this was due to the micro-array course where at least 200 people registered for the full day course. Dennis Dixon wondered about attendance at courses. Kathy indicated that Pittsburgh was "drivable" so many people attended the meeting. Dennis Dixon wanted to know if we are offering the right types of short courses - a measure of success is how many people register. Joanna indicated that the tutorial attendance is increasing while attendance at the short courses is decreasing. A member asked if there are problems with late drop-outs. Should ENAR think about a credit policy if a registrant dropouts of a course due to unforeseeable reasons (e.g., this year, NCI denied 6 people on the Friday before the meeting). Most members at the meeting felt that this was an unusual circumstance and not likely to happen with great frequency. Linda Young noted that her department does not give departmental funds unless people are giving papers/chairing/etc. Linda worried that book-keeping at last minute would be very difficult. Judy O'Fallen noted that people attend the JSM because of the short courses.
- 2003 ENAR Spring Meeting Meetings - Pittsburgh (Marie Davidian)
Marie asked for approval of the minutes for the 2004 Pittsburgh meeting. All were in favour of approval.
- Executive Director's Report (Kathy Hoskins)
Kathy distributed the Executive Director's Report (Appendix C) and indicated there are
1,781 current members. This number is down from 2003. She announced the locations of future ENAR meetings: Austin, TX in 2004; New Orleans, LA in 2005; Miami, FL in 2006; and DC in 2007.
- 2005 Spring Meeting (Peter Imrey)
Peter encouraged the members to attend the 2005 meeting in Austin, TX. He indicated that there will be 39 ENAR invited sessions, 5 IMS sessions, and 1 co-sponsored ENAR/IMS. In terms of topic areas, Peter summarized the topics as: 8 sessions involving clinical trials; 6 sessions on the environment; and 6 sessions on genetics. Brad Efron will deliver the Presidential Invited Address. There will be a diversity workshop as well as a NSF grant opportunities workshop. The Tuesday evening event is characterized as a "Taste of the Heart of Texas" and is a progressive event. The evening will begin at a micro brewery with some live entertainment. Then, the group will walk 2 blocks to go to Ester's Folleys. This is a traditional show of Second City Capital Steps, magic, and burlesque. Students will be charged $35.00. There are many restaurants, including upscale restaurants, and coffee shops nearby. The venue is walkable to 6th street. Attendees can go out for lunch without having to get into cabs. Interestingly, there is a colony of bats near the hotel.
Peter distributed the educational program (Appendix D). Three full-day short courses have been accepted. They will select 2 half-day short courses and 4-5 tutorials. Linda Young asked if the tutorials were set yet. Peter indicated he has a lot of flexibility to select courses. Linda thought we should not have one person giving two courses. All members agreed with Linda's criticism. People agreed the topics were good and he would get author lecturers. Kathy indicated that the deadline is August 20 for the copies.
- IBS News (Marie Davidian)
Marie reported that there will be an Invited Session for Biometrics at the ENAR Spring Meeting. She indicated that the IBC meeting in Cairns was terrific. She also updated members on several IBS activities. First, committees to review the publications of IBS (Biometrics and JABES) will be formed. Second, a committee will review editorial structure but it was noted that Biometrics might benefit from a managing editor. Third, Biometrics will be instituting a web-based management system.
The IBS mission statement is currently being updated; this statement has not been changed for at least 50 years. The current mission statement causes Biometrics to be ranked against Biology journals. The statement will be updated and the term "Biosciences" will be used.
IBS will implement an electronic-only option for receiving journal on a CD. Biometrics will digitize everything - Technometrics did this and made a ton of money.
The IBC 2006 will be held in Montreal, Canada. ENAR is the official sponsoring region of the meetings. Marie reminded the members that it would be nice to have a large ENAR presence. Linda Young reminded the IBC program committee to avoid July 4. Marie announced that the 2008 IBC will held in Dublin, Ireland (and if that fails, Paris, France).
- Other Items (Marie)
Marie reported on the Nominations Committee, headed by Tim Gregoire. There will be a measure on ballot to increase size of RECOM. Marie urged people to vote.
- Student Paper Awards (Tim Gregoire)
Tim indicated that the papers will be judged by a Continuing Committee comprised of 12 people. The committee has been formed and member names will appear on the web soon. Depending on the volume of papers, RAB may be called upon to help with the review process.
Tim reported that ENAR experienced the highest student attendance ever at the 2004 Pittsburgh Spring meeting.
- Membership & WNAR (Marie)
Marie summarized the WNAR experiment of offering free student membership for 2 years to increase membership. She noted that this strategy implies WNAR is absorbing the cost for IBS portion. ENAR will closely watch the outcome of this experiment.
Elizabeth Margosches asked if ENAR organizes a mixer for the students. Indeed, there is a student breakfast which is quite nice and well-attended. Linda Young added that the placement service is also another draw for the students.
Marie reported on the recent activities between WNAR and ENAR, including the Alaska meeting. Linda Young volunteered to attend the Alaska meeting. The ideas proposed included: ENAR sponsoring a session at the WNAR meeting and vice versa; web links; etc. Lynne Billard reminded the audience that ENAR collaborates with WNAR at the JSM. Marie responded by indicating that we would like to increase the cooperation between the two regions.
- ASA Increase in Meeting Fee (Marie)
Marie reported on ASA's desire to provide proceedings to all registrants of the JSM and, as a consequence, they will raise the meeting fee by $10. ASA wanted feedback on increasing the fee - however, ENAR, SSC, and IMS have no proceedings. Greg Campbell wondered whether the proceedings would be handed out before the meeting but no one knew the official answer to this question. Dennis Dixon wondered if there was a page charge still given or if the ASA are asking for another $10. Linda Young offered that it would only make sense if the proceedings were given at the meeting. Lynne Billard agreed and wondered if the ASA will still charge postage fees, etc - where are these costs covered? Lynne reminded us that the Government Section members really like the proceedings.
Elizabeth Margosches asked if other issues about JSM were raised. Marie responded that it was indicated that the ASA intended on shortening the JSM, possibly ending Wednesday and starting early on Sunday.
- Other Business
Greg Campbell raised the issue of placement services at the Spring Meeting: the physical area for recruitment in Pittsburgh was bad. Greg thought pharmaceutical companies would be in favour of something more elaborate. He also indicated that the placement service is really is a service to our membership. Kathy responded that the space for the placement service was discussed at the Planning Meeting in Pittsburgh. Marie indicated that Stacy undertook a survey of xxxxxxx and found zzzz. There is plan to try and improve the space. In Austin, there will be some private areas using drapes. Greg wondered if it would be possible to raise money to get more space without it costing money to ENAR. Kathy said the timing is tricky.
